You can add people outside your organization as external administrators, review partner-assigned external administrator access, and manage external administrator privileges in Control Hub.

External administrator roles

External administrators are administrators from outside your organization.

Customer full administrators can add external administrators in Control Hub. Partner full administrators can also assign external administrators from Partner Hub to manage a customer or customer group. Partner-assigned users appear in Control Hub as external administrators.

Use Control Hub to review and manage external administrator access for your organization. Partner full administrators use Partner Hub to assign or manage external administrator access for customers or customer groups. For more information, see Assign administrator and external administrator roles in Partner Hub.

You can assign external administrators as a way to access your organization in case of emergency sign-in issues, such as if SSO isn't working properly for a SSO-configured organization.

Anyone outside your organization that has access to your organization's Control Hub is shown in the Users section under the External Administrators tab.

Control Hub includes these built-in external administrator types:

  • External full administrator: External full administrators have many of the same permissions as internal full administrators. External full administrators can manage users, devices, licenses, and troubleshoot issues the same as an internal full administrator.

    External administrators must sign in to Control Hub after being assigned the external full administrator role before they can get admin access to meeting sites.

  • External read-only administrator: External read-only administrators are users that can view your organizational settings and templates, but not make any changes. Support staff that access your organization generally have the role of read-only administrator. Read-only administrator access is automatically revoked after some time. You can grant or deny administrative access to anyone.

  • Provisioning administrator: Provisioning administrators are added when a partner provisions your Webex services orders. Provisioning administrators can provision orders, access your organization's licenses and upgrades, add and delete Webex sites, troubleshoot issues, and access locations. Customer full administrators can request to promote or demote the access of a provisioning administrator from partners.

    The provisioning administrator role is implicitly granted to a partner administrator as they launch a customer's Control Hub. The role can't be assigned to an external user in the same manner as the external full admin or external read-only admin roles.

Assign external administrators as full or read-only administrators in order to clearly define what their responsibilities are in your organization. Dividing administrative responsibilities can also ensure greater accountability within your organization.

Partner-assigned external administrators can use built-in roles, such as full administrator. When partner-assignable custom roles are available, a partner can use a custom role to restrict the external administrator's access to only the areas that they need to manage.

Add external administrators

You can add users outside your organization as an external administrator to help maintain your Webex services and users. External administrators can't add additional external administrators to your organization.

There are a few limitations to keep in mind before you add an external administrator.

  • You can only add external administrators from the same environment as your organization. For example, while you may allow external commercial users as guests to your Webex for Government organization, you can't grant them external administrator privileges.

  • Users in free self-sign up organizations can be added as external administrators. However, users that are part of the consumer organization can't be added as an external administrator. Control Hub indicates an error when you try to verify the emails of users who are in the consumer organization.

  • You can't add external administrators to a Webex Online account (accounts with a my.webex.com domain).

  • You can't add partner employees as external administrators. Only partners can provide access to partner employees to your customer organization through Partner Hub.

Sign in to Control Hub and go to the Users page.

Select the External administrators tab and click Add external administrator.

Enter the administrator's email address and click Verify email.

Select the role you want to assign:

  • Full administrator
  • Read-only administrator
  • Contact Center service administrator (if applicable)
  • Webex site administrator (if applicable). You can then choose to assign users as full, read-only, or user administrators for each Webex site.

Click OK.

Manage external administrator privileges

You can choose what information is shared or withheld from external administrators.

As a full administrator of your organization, you can also adjust the administrator privileges for external administrators.

Sign in to Control Hub, then open the Users page.

Filter the user list by All external administrators to see the list of external admins.

Select the user you want to edit.

Choose one of the following:

  • To promote the administrator to a full administrator, under Administrator roles, check Full administrator privilege.

    If the administrator was set up with read-only privileges, you can promote them by going under Administrator roles and choosing Full administrator privilege.

  • To demote the administrator to a provisioning administrator, under Administrator roles, uncheck the Full administrator privilege check box.

    If the administrator was set up with read-only privileges and previously promoted to a full administrator, you can demote them by going under Administrator roles and choosing Read-only administrator privilege.

    You need to demote all external administrators at once for the system to save the change.

  • To completely revoke administrator privileges, under Revoke admin privilege, click Revoke admin privilege and then select Revoke privilege.

    Revoking administrator privileges deletes all record of the administrator, and they must be added again to reinstate them.

Manage partner administrator access

You can request to change the access of a partner organization from a full admin to provisioning admin or from a provisioning admin to a full admin. The request is then sent to the partner who can approve or deny the request.

Sign in to Control Hub.

Go to Users > Partner administrators.

Select a partner organization.

Select which role you want the partner organization to have.

Select Save.

Sign in as an external administrator

Use the following steps to sign in to an organization as an external administrator. If a partner administrator assigned you to manage a customer or customer group, the customer organizations that you can manage appear on the Customers page after you sign in to Control Hub.

Select the Customers tab.

Click Go to Control Hub next to the organization that you want to manage.
